Job descriptions - Roles and Responsibilities There are three responsible officers of the Club - they are the Chairman, Secretary and Treasurer - they are joined on the committee by the 10 teams managers (Chelmsford), Colchester Manager, Registrations Secretary, Minutes Secretary, Social Secretary, Junior Club Organiser and the Club Coach. The roles and responsibilities of officers and committee members are detailed below:
Chairperson Convenes and chairs AGM's (Annual General Meetings), extraordinary meetings of the club's members, and committee meetings. In the absence of the Club chair the Secretary will chair club meetings. Sets agendas for meetings. Follows the club constitution. Represents the club in external affairs. Maintains club structure of managers, teams and members. Keeps updated with netball information from Leagues, County, Region and England. Promotes netball according to the club constitution. Undertakes the duties of Development Co-ordinator. Undertakes the duties of Funding Co-ordinator Manages website Is jointly responsible for the club's assets and chatels along with the Secretary and Treasurer. Is accessible to members.
Secretary Is jointly responsible for the club's assets and chatels along with the Chairperson and the Treasurer. Handles all communications with the leagues on behalf of the club. Receives all club correspondence including email. Sends information to members and team managers. Collates information for the web site. Maintains website registration. Holds members records. Produces Club handbook. Submits AENA registration returns via email. Reports to the Club Committee. Reports to the AGM. Undertakes to chair club meetings in the absence of the Chair.
Treasurer Is jointly responsible for the club's assets and chatels along with the Chairperson and the Secretary. Is responsible for the club's accounts. Signs club cheques along with the Secretary or Chairperson. Receives monies from match fees via Team Managers, members registration fees via the Secretary. Receives Coaching fees from Club Coach. Pays the club bills including league fees, court hire, coaching fees, equipment, fines. Prepares annual accounts. Arranges accounts audit prior to AGM. Reports to the AGM. Reports to the Club Committee.
Registrations Secretary Receives members list from Secretary. Receives application for membership, registration forms and player profiles. Maintains names on a database. Provides Club Handbook to every member. Is responsible for playing up control. Produces Club Handbook player list. Maintains team sheets & checks scores on Horizon web site.
Minutes Secretary Takes minutes, or arranges a deputy, at all club meetings. Prepares minutes and distributes to committee and/or members. Reminds members of meetings in advance.
Social Secretary Arranges Club Social events. Club annual meal.
Club Coach Arranges club coaching. Trials new members. Creates an environment for personal and team netball development. Undertakes the duties of Coaching Co-ordinator. Undertakes the duties of Umpiring Co-ordinator. Buys and sells club kit, orders club kit, and equipment.
Coaching Co-ordinator (role undertaken by Club Coach) Be responsible, and make recommendations for Coaching within the Club. No policy decisions may be taken until approval is received from the Committee. Be responsible for the implementation of the coaching aspects of the Club’s Development Plan. Liaise with the Treasurer over fees, expenses and other monies. Maintain an up-to-date record of all qualified Coaches in the Club. Produce a written report at the Committee Meetings. If unable to attend, send it to the Chair. Ensure the Club's coaches adhere to the England Netball Duty of Care Guidelines.
Umpiring Co-ordinator (role undertaken by Club Coach Be responsible for the implementation of the umpiring aspects of the Club’s Development Plan. Be responsible and make recommendations for provision of umpiring within the Club. No policy decisions may be taken until approval is received from the Committee. Liaise with the Treasurer over fees, expenses and other finance matters. Maintain an up-to-date record of all qualified umpires in the Club. Produce a written report at the Committee Meetings. If unable to attend, send it to the Chair. Ensure the Club's umpires adhere to the England Netball Duty of Care Guidelines.
Development Co-ordinator (undertaken by the Club Chair) Be responsible for the development of all aspects of the development plan and gain approval from the Committee for implementing any changes. Be responsible for the overall implementation of the Development Plan, either directly or through the stipulated persons. Liaise with other Development Officers whether County / League / Club regarding the development plan. Liaise with the Treasurer over all monies involved in development projects. Maintain a record of all development projects and their results. Submit a written report at the Committee Meetings. If unable to attend send to the Secretary. Circulate specific information to schools, clubs, local authorities, leisure centres, youth organisations and sports development officers in conjunction with the Club Secretary. Be involved in external schemes, for example, Active Sport, BT Top Sport Netball etc.
Funding Co-ordinator (undertaken by the Club Chair) Bunny 7 Be responsible for all aspects of club and team sponsorship. Be responsible for and submit recommendations for fund raising activities to the Committee. No policy decisions may be taken until approval is received from the Committee. Liaise with the Treasurer on financial planning for the Club to ensure adequate funds are generated. Maintain a record of all sponsorship. Organise all fund raising activities in the Club and delegate delegate where necessary. If unable to attend the Committee Meeting ensure that a written report is sent to the Secretary.
Junior Club Organiser Represents the Junior Club at Senior Club Committee Meetings Produces a written report to the Junior and Senior Club committees. If unable to attend send it to the Junior and Senior Club Chairs. Books junior training facilities. Arranges, in conjunction with the Club Coach, a qualified coach (at least Level 2) always with an assistant (at least Level 1) for all Junior club sessions. Collects training, affiliation and match fees via coaches/managers. Ensure the Junior Club's helpers, coaches, umpires and managers adhere to the England Netball Duty of Care Guidelines. Provides helpers/umpires/coaches/managers for playing teams within the club constitution and duty of care guidelines
Junior Representative Will be under 18 Is elected by the Junior Club members Will sit on the Junior Club committee Can vote at meetings of the Junior Club Committee May be asked to attend Senior Committee Meetings
Team managers (senior club) (approved by the AGM/Committee) Do or delegate the following: Ensure a complete record of all player's emergency contacts and medical conditions is available at all team events. Ensure a complete first aid kit is on display and accessible at all matches Select team from squad. Appoint a team captain. Book suitably qualified umpires. Maintain team kit - bibs, ball, pump, first aid, result cards, accident book. Ensure players wear matching kit. Ensure matches are attended as per the schedule with a full team. Inform Registration Secretary of players playing from other teams below - ask before selecting - tell when selected. Collect match fees and monies owed by members - fill in envelopes provided by Treasurer and hand complete envelope (no owings!) back. Pay umpire. Complete results card and make sure correct names, score, signed by umpires. Report card details to Registration Secretary (by email form provided via this website) Fill in accident book and report accidents to Secretary. Inform Secretary of any "incidents". Keep track of club sponsored kit. Encourage members to attend coaching.
Team reps (one per team per committee meeting) Represent members views at committee meetings. Vote at committee (senior members only).
